As well as finding the perfect venue for a Telecommuncations company, our travel team also arranged exclusive carriages on a train to transfer people to and from the team building event in Cornwall.

Background

The original brief was to search for a venue that situated in central London, and was able to cater for up to 360 people
with outdoor space. However, finding a venue of this kind at a short notice proved to be very challenging.


Since this customer had an agreement with a partner property in Newquay, we considered hosting the event in this location.
The location needed to be quirky and incorporate company culture; what better way to host a unique team building
event at Lusty Glaze - a privately-owned cove nestled on the North Cornish Coast.


We also organised private and exclusive carriages on a train to transport guests to the event and back using our travel
teams, which as then invoices through the Telecommunications company’s systems.

Objectives

The objective was to work with the customer’s in-house events team to find a venue that was interesting and different, and incorporated the outdoors. We also needed to ensure that the venue was accessible, had good transport links and could provide onsite accommodation.

NYS have and still help us to find the best venues to suit our event specifications. They continually strive to find the best and unique spaces and all within our budget parameters. On top of this they are the friendly, helpful team we met on day one!

Solution

With only a couple of lines of wording given to the team as the brief for the venue find, we ensured that the ideas were built on to develop a bigger brief so that we could understand exactly what our customer wanted. We worked closely with the customer’s in-house events
team and started to understand their requirements of the venue, which was that they wanted an overnight stay and beach access, but with a large group of attendees, the venue wasn’t able to accommodate all 260 people.


Therefore, we sourced additional accommodation close to the beach which incorporated a funky and contemporary style to maintain the overall ‘festival’ feel of the event; The Atlantic Reach where we hired 70 bedrooms and Glendorgal Hotel and Spa where we hired 10 bedrooms.


As part of the partner deal, guests were able to either camp at the beach, or stay in accommodation if they preferred to do so. We also work closely with their brand experience agency, to help develop the event with the customer’s event’s team.

Challenges

Finding accommodation across multiple venues for the same date was a challenge, especially as the accommodation needed to incorporate the quirky style of the event. With such little information given in the brief, the venue find team worked really closely with the customer’s event’s team to understand requirements to ensure that guests who did stay at the accommodation as opposed to camping on the beach, still felt part of the overall ‘festival feel’ of the event.

Results

This customer has been working with us for venue-find since 2010 for all of their events to date. The customer’s in-house events team work with us throughout their tender in order to help establish the perfect venue to match their event. Working extremely closely with them, we ensure that we find venues that are environmentally friendly to keep in line with their ‘green’ policies.
